The following conditions, together with our privacy policy, constitute a binding contract between you and us (“conditions”). You must read all of this information carefully before proceeding, because by using our website and/or making any booking through us, you confirm your agreement to each of these conditions, our privacy policy and any Additional Terms listed on the Property Page.

BOOKING CONDITIONS

Invitation to Tuscany Ltd

These booking conditions, together with our Privacy Policy, form a binding contract between you and Invitation to Tuscany Ltd. Please read this information carefully. By using our website or making a booking, you confirm your agreement to these conditions, our Privacy Policy, and any additional terms on the Property Page.

SECTION A: GENERAL TERMS

1. Definitions and Key Terms

In these conditions:

  • "We," "us," "our" refers to Invitation to Tuscany Ltd
  • "You," "your," "client" refers to the lead name on the booking
  • "Party Leader" is the person who makes the booking and accepts responsibility on behalf of all guests
  • "Property owners" or "owners" are the owners of the properties we feature
  • "Representatives" are our local contacts in Italy

2. Our Role and Your Contract

Invitation to Tuscany acts as booking agent for property owners. Your rental contract is directly with the property owner, not with us. The contract between you and the property owner comes into effect when we send your confirmation invoice.

Governing law: This contract is governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the Courts of England and Wales.

3. The Party Leader's Responsibilities

By making a booking, the Party Leader confirms on behalf of all guests that:

  • They have read and accept these terms and conditions
  • They have authority to bind all guests to these terms
  • They consent to our use of information in accordance with our Privacy Policy
  • They are over 18 years of age
  • All party members meet any age restrictions for requested services
  • They accept financial responsibility for the entire booking

All correspondence, invoices, and requests for amendments or cancellations must come from the Party Leader.


SECTION B: MAKING YOUR BOOKING

4. How to Book

Bookings can be made directly through our website or via an agent. All bookings are provisional until we confirm them in writing.

Holding a property: We can hold your chosen property for 48 hours without payment, giving you time to arrange flights or discuss your plans with us.

Confirmation: To confirm your booking, pay the deposit (or full balance if booking within 10 weeks of arrival) through our secure website. You'll receive automatic confirmation emails and your invoice. These documents constitute your booking confirmation and activate the contract with the property owner.

Balance payment deadline: Full payment must be received at least 10 weeks (70 days) before your arrival date. If payment isn't received by this deadline, we reserve the right to treat the booking as cancelled, and cancellation charges will apply.

5. Pricing and Payments

Currency: All payments are in Euros (EUR).

Accepted payment methods:

  • Credit/debit cards: Visa, Visa Delta, MasterCard, American Express (no Diners Cards)
  • Bank transfer to our account
  • No fees for credit or debit card payments

  • Important: Include your booking reference number and ensure transfer is sent "without charge to recipient"

Invoice price: Your invoice reflects the rental charges from our current price list as confirmed on your booking form.

5.b Special Payment Schedule for Weddings and Life Events

For weddings and life events at selected properties, a different payment schedule may apply, at the owner's discretion. These bookings typically require:

  • 30% deposit on booking
  • 35% payment in December (for bookings made well in advance)
  • 35% final payment 70 days before arrival

This schedule reflects the greater difficulty in re-filling large event bookings if cancelled. Properties subject to this payment schedule will be clearly indicated at the time of booking. Please note that weddings and life events often attract an additional location fee, managed directly by the property owner.

6. Travel Documents and Directions

We'll send directions to your property and all relevant documents at least three weeks before your arrival date (by email), provided your invoice is paid in full.

7. Travel Insurance – Mandatory Requirement

You must have adequate travel insurance. This is a condition of your booking contract.

Your insurance must cover:

  • Cancellation costs
  • Medical assistance and repatriation
  • Loss of baggage and money
  • Other holiday-related expenses

Without insurance, you have no chance of recovering losses, expenses, or costs if something goes wrong.


SECTION C: CHANGES AND CANCELLATIONS

8. Cancellations by You

All cancellations must be made in writing.

Cancellation charges:

  • More than 70 days before arrival: 30% of rental cost
  • 70 days or less before arrival: 100% of invoice price (full cost)

Most cancellations result from unforeseen circumstances covered by travel insurance. If you need to cancel for other reasons, contact us - we can often reschedule or modify your booking to protect your payment.

9. Changes to Your Booking

Transferring to another person: We'll try to accommodate transfers to another person, but cannot guarantee this. Notify us in writing as soon as possible. If approved, a non-refundable €45 amendment fee applies.

Changing dates or properties: We'll do our best to accommodate changes, but these require property owner approval. If the change isn't possible and you need to cancel, standard cancellation charges apply (see section 8).

Moving without notice: If you independently move to other accommodation or change your stay duration without informing us or the owner, no refunds will be given except at the property owner's discretion.

Timing is critical: Tell us about any proposed changes as soon as possible so we can work with you and the property owner.

10. Force Majeure

Neither property owners nor Invitation to Tuscany can accept liability for changes, delays, cancellations, or losses caused by circumstances beyond our control, including:

  • Wars, terrorism, riots, civil unrest
  • Strikes, industrial disputes
  • Natural disasters, fires, floods, storms
  • Infectious diseases, pandemics, and government measures to combat them
  • Failure of public utilities or mechanical breakdowns
  • Transport disruptions (ferries, trains, airlines)
  • Other events amounting to Force Majeure or Acts of God

SECTION D: YOUR STAY

11. Property Occupancy

Maximum guests: The maximum number of guests for each property is clearly stated in the property description. This limit cannot be exceeded without prior owner consent. Local bylaws and utilities (water supply, septic systems) often make increases impossible.

Tents: Not permitted without express owner permission.

Pets: Not allowed without express owner permission. A pet charge may apply, payable at booking or directly to the owner.

12. Rental Periods and Arrival/Departure

Minimum stay: Detailed for each property. Most require at least one week, typically Saturday to Saturday. Some properties accept shorter stays or different days—check the property page.

Standard times:

  • Arrival: 5:00 PM - 8:00 PM
  • Departure: By 10:00 AM

These times allow us to prepare the property between guests. Owners may refuse arrivals outside these hours if inconvenient, and some may charge for late arrivals.

Running late? Please contact the owner or our representatives. We worry when guests don't arrive on time—this is a personal business and we want to know you're safe!

13. Property Description and What's Included

We describe properties carefully and in good faith, visiting them personally and relying on owner information. However, we cannot be liable for modifications made by owners without our knowledge. We'll notify you of any significant changes as soon as we learn of them.

Included in your rental:

  • Fully furnished and equipped property
  • Crockery, cutlery, cookware
  • Bed linens and bath towels (sufficient for stated occupancy)
  • Fresh linens and towels provided weekly
  • Fuel for lighting, cooking, refrigeration, hot water
  • Beach towels are not usually included

Additional costs (paid to owner or representative):

  • Air conditioning (except where specifically included—check property details)
  • Heating
  • Jacuzzi operation
  • Any other utilities not specified as included

14. Concierge Services

Complimentary Concierge Service is included with every booking:

  • Up to 3 activity or restaurant bookings per stay
  • Local recommendations and area information
  • Standard check-in coordination
  • General travel assistance

Concierge Plus (€300): For guests planning celebrations, special events, or requiring extensive coordination (4+ activity bookings, complex group logistics, special occasions), our Concierge Plus service provides dedicated planning support from initial booking through to execution. This service should be requested at time of booking or as early as possible, and is subject to availability.

15. Check-in and Property Inspection

Upon arrival, inspect the property with the owner or caretaker. Make sure you understand how to use all appliances, equipment, and utilities.

Read the House Notes carefully before using appliances. Italian appliances often differ from those in other countries. For example, washing machines and dishwashers have timed safety catches—forcing them may break the door.

Departure inspection: The owner/caretaker typically arrives at 9:00 AM on departure day to inspect the property and present any final charges. If you're leaving before 10:00 AM, notify them at the start of your stay to arrange an alternative inspection time.

Important: If you choose not to be present at the inspection, you cannot query charges afterward. We will automatically charge your security card for any amounts due, plus a €45 administration fee.

16. Property Care and Cleanliness

Properties are provided clean and in good order. Please leave them the same way.

What we expect:

  • A general tidy-up (you're not expected to scrub floors)
  • All furniture and belongings clean and in good condition
  • Reasonable cleanliness appropriate to a private home

Please note: During dry summers, dust collects quickly in old country houses. Many owners can arrange additional cleaning if requested.

If the property isn't left in acceptable condition, the owner may charge your security deposit for extra cleaning beyond normal turnover requirements.

17. Damage and Breakages

The Party Leader is liable for any damage to the property, contents, or grounds caused by anyone in the party.

These are private homes. Please treat the property as you would your own. Do not remove books or personal items.

Report damage immediately: Tell the owner, caretaker, or our representatives about any damage or breakdowns as soon as they occur, so repairs can be arranged quickly.

Payment for damage:

  • Pay the owner or caretaker directly when possible
  • If calculated later or discovered after departure, charges will be deducted from your credit card plus a €45 administration fee
  • Some owners handle security deposits personally - you'll provide a check or cash on arrival if this applies to your property

Credit card authorization: We require your credit card details to cover any costs that exceed the security deposit.

18. Guest Behavior

All guests must conduct themselves appropriately and not disturb other guests or neighbors.

If your behavior (or that of anyone in your party) causes or is likely to cause distress, danger, annoyance, or property damage, we reserve the right to terminate your booking immediately with no liability to you. In this case:

  • You must leave the accommodation immediately
  • No refunds will be provided
  • You remain liable for all costs and damages caused by your actions
  • You must indemnify us for any claims (including legal costs) arising from your conduct

SECTION E: PROPERTY FEATURES AND LOCAL CONDITIONS

19. Swimming Pools and Gardens

Private pools are generally not heated and typically open from early June to mid-September (weather and owner discretion). Public pools may only open June-August.

Safety warning: Most pools in Italy are unfenced. Many gardens occupy old olive groves or steep hillsides. Swimming pools and gardens are used entirely at your own risk. Children must be supervised at all times.

20. Access Roads

Many properties are reached via unpaved tracks or bumpy rural roads. If you're driving a low-clearance or sports car, please ask us about access before booking.

21. Country Living and Noise

Our properties are in peaceful rural settings. However, country life includes natural sounds: birds, nightingales, owls, dogs, sheep bells, poultry, insects, frogs, tractors, and farm equipment. These sounds are part of authentic rural living but may be unfamiliar if you're from the city.

Village festivals happen regularly during summer and can be noisy late into the night. We recommend joining in - these community feasts are wonderful experiences!

We suggest bringing earplugs if you're sensitive to unfamiliar sounds. ITT accepts no liability for noise or disturbance experienced at the property.

22. Equipment Breakdowns

Mechanical equipment (pumps, boilers, pool equipment, etc.) can break down.

If equipment fails:

  1. Contact the property owner immediately
  2. If unavailable, contact our local representative
  3. As a last resort, contact our office

We'll arrange repairs as quickly as possible, but please be patient - repairs may take time, especially on Sundays or public holidays.

Please note: Italy occasionally experiences issues with public utilities (electricity, water). Invitation to Tuscany cannot be held responsible for equipment breakdowns, as we act only as agents for property owners.


SECTION F: PROBLEMS AND COMPLAINTS

23. Resolving Issues During Your Stay

Property owners ensure properties are in reasonable condition at the season's start and maintain them throughout.

If problems arise, follow this process:

  1. Notify the owner/caretaker immediately so they can take action
  2. If not resolved satisfactorily, contact Invitation to Tuscany while still at the property and ensure we can reach you
  3. Owners must have the opportunity to address issues while you're there

Critical: Vacating the property without speaking to the owner or an ITT staff member voids your right to claim compensation or refunds.

After your stay: Invitation to Tuscany will not remedy any complaint raised after the rental period ends and cannot be held liable for dissatisfaction not reported during your stay.


SECTION G: THIRD-PARTY SERVICES AND LIABILITY

24. Third-Party Arrangements

We do not arrange flights, ferries, or rail travel.

Car hire and other services: When we assist with car rental or other third-party services, we act as booking agent only. The contract is between you and the service provider, subject to their terms and conditions. We have no liability for third-party services unless related to personal injury or death caused by our negligence.

25. Our Liability

ITT acts only as agent for property owners. We accept no liability for death, personal injury, loss, or damage of any kind unless caused by our own negligence.

Any proceedings must be governed by English law and subject to the non-exclusive jurisdiction of English courts.

26. Acceptance of Terms

By signing the booking form or completing the online booking process, you accept:

  • These booking conditions
  • The property owner's specific terms for your chosen property
  • Our Privacy Policy
